Digital vs paper certificates — what to keep
Inspectors and brokers care that the records exist and can be opened in minutes — not whether the ink is wet. Secondary explainers note that NFPA 96 requires specific records (certificate/report content, premises availability, written report to the owner) but does not lock you into paper-only or PDF-only. This page is the storage decision: what to keep digital, what to print for the hood binder, and how not to lose the file when a phone dies or a vendor portal locks you out. On-site print vs cloud — operator pattern
Defensible split
- On the hood: current service label (and panel tags where opened)
- Binder (print): latest cleaning + inspection report, latest suppression report, one-page photo contact sheet optional
- Cloud / office drive you control: full history PDFs + original photos + label shots
- Broker share: read-only link or ZIP of the renewal pack
- Export after every clean — do not leave the only copy in the vendor app
Fragile patterns
- Paper only in a binder that walks out with a GM
- Digital only on one phone with no backup
- Vendor portal login nobody on the night shift has
- Assuming a PDF replaces the sticker on the hood
- Email attachments never filed — search fails at inspection
What to print for the hood binder tonight
- Most recent cleaning report (full PDF, not just the invoice)
- Most recent inspection report if issued separately
- Photo of today’s service label (backup if the sticker peels)
- Latest suppression inspection certificate from the fire-protection vendor
- Optional: one sheet of key before/after frames for the last clean
- Skip bulk-printing years of photos — keep those digital; print on request
Field note — AHJ and carrier habits (secondary)
- Premier Grease (Atlanta vendor): inspectors care that records can be produced; tablet/laptop PDFs are often fine; both a physical latest report and digital backups is the practical approach.
- Facilitec secondary: same documentation chain serves fire marshal availability rules and insurer loss-control — build one file, not two conflicting ones.
- Kitchen Guard / similar secondary: keep full set on-site or readily accessible; maintain digital backup; do not rely only on a vendor portal during an inspection.
- FindHoodCleaner and some vendor blogs claim digital mandates in newer editions — label those as secondary; confirm with your adopted code text and AHJ before rewriting SOPs.
